The Hirer agrees that by booking with Belle & Bleu (Belle & Bleu)/we/us)., that they have read, understood, and agreed these terms and conditions.

1. Services

1.1. Belle & Bleu is an event planning and styling company. We specialise in pre-designed and bespoke luxury picnics, afternoon teas, dinner parties and micro weddings, tent hire and tent stove hire (see Schedules 1, 2 and 3 which form part of this agreement). We also provide bespoke styling and planning services for a large range of different events.

1.2. Our services include the hire of various items (as set out within your quote) these may include decorations, furniture, signs, props, tents and tent stoves (the “Hired Property”).

1.3. When booking one of our pre-designed themes, your hire shall include delivery, set up, styling, and pack-up/cleaning of all items listed, plus any items you may wish to add from our ‘Make It Your Own’ add-on list (at an additional cost).

1.4. Your event is automatically considered a bespoke event if you have more than 24 guests, whether you are opting for one of our pre-designed themes or otherwise, and you will be charged accordingly for the sourcing of additional decoration, Hired Property, and time.

1.5. Our pre-designed themes and add-on options are mostly in-house services including the item hire, balloon decor and floristry. For both pre-designed themes and bespoke events, we reserve the right to outsource to one or more of our many trusted specialist companies for any additional requirements such as food and drinks, personalised items, additional furniture hire, decorations & signs, additional props and sets, marquee/gazebo/additional tent hire, entertainers, etc. For larger bespoke events, we may also out-source the services that would normally be provided by Belle & Bleu at our discretion, such as floristry and balloon installations. Whilst we can communicate with these companies on your behalf; any contracts and payments will be directly dealt with between you and the out-sourcing company. Any contract with such parties will be subject to those parties’ own terms and conditions.

1.6. Please note that Belle & Bleu does not provide food or drink. However, we can arrange for one of our trusted suppliers to provide these services for you. When choosing add on options of drinks dispensers, tea and coffee station, dessert table, and picnic baskets, you will supply all food and drinks yourself.

1.7. Please note that photos and footage on our website are an approximate representation of the themes. They are not exact depictions as we are always updating our hire items and styling trends change. Please be sure to point out anything you particularly like about your chosen theme when booking and we will try our hardest to make sure it is included on the day.

1.8. Belle & Bleu reserves the right to substitute items and products for similar ones or update our pre designed theme styling as and when required.

1.9. At no time will any level of abuse be tolerated towards Belle & Bleu staff.

2. Booking

2.1. When hiring from Belle & Bleu for an event, we will provide you with a quote for our Services. All prices and details of your event will be outlined and listed in your quotation following our initial contact or consultation with you.

2.2. After your acceptance of the quote, we will send you a booking form by email for you to complete and return. Your event is only confirmed once we have received the completed booking form together with a 50% non-refundable deposit and a refundable Security Deposit of £200 or 10% of the overall cost, whichever is the greater amount. Receipt of the Deposit/Security deposit/completed booking form shall be deemed acceptance of our terms and conditions. You will receive a confirmation from us acknowledging payment and confirming the booking.

2.3. The 50% non-refundable deposit will be applied towards the final balance.

2.4. The Security Deposit is taken to cover any loss, damage, or extra cleaning that may be required. It is refundable once the Hired Property has been collected undamaged and fully tested (usually within 5 working days following collection). In the unlikely event that any Hired Property is damaged, the cost of replacing or repairing it will be deducted from the Security Deposit in accordance with these terms and conditions.

2.5. The final balance must be paid at least 14 days before the date of your event. If the final balance is not paid before 14 days of the event, we reserve the right to cancel your booking and no refund will be given save for the return of the Security Deposit.

2.6. Any booking made less than 14 days in advance of your event date will require the full balance to be paid at the time of booking, including the Security Deposits.

2.7. All payments should be made by way of bank transfer (unless otherwise agreed) and account details are provided on the booking form.

2.8. If your booking information is incorrect or alters in any way, then it is your responsibility to inform us of any changes or corrections in sufficient time before the date of the event. Late notification may mean changes cannot be accommodated.

2.9. You must disclose the property type and any access restrictions to the venue at the time of booking. If access is limited or difficult, it is at Belle & Bleu’s discretion whether the booking is accepted. Please see clause 3.5 below.

2.10. Provisional bookings will be held for 5 days. If the completed booking form and Deposit(s) are not paid within 5 days of submitting a booking request, your date will not be secured.

2.11. If our performance of any of our obligations is prevented or delayed by any act or omission by you or failure by you to perform any relevant obligation (Hirer Default) without limiting or affecting any other right or remedy available to us:

2.11.1. we shall have the right to suspend performance of the Services until you remedy the Hirer Default, and we shall be relieved of any further obligations to perform the Services; and

2.11.2. we shall not be liable for any costs, damages or losses sustained or incurred by you (directly or indirectly) arising from the failure or delay to perform any of our obligations.

3. Installation and delivery

3.1. All Hired Property is delivered, assembled, and styled by Belle & Bleu and included in our prices provided delivery is within a 10-mile radius of Littlewick Green, Maidenhead, England. If the event is outside of this 10-mile radius, the quotation will include an additional cost for delivery. London congestion charge and off-street parking fees will also be charged if incurred. We require a minimum order of £300 for distances over the 10-mile radius, and of £500 for distances over 30 miles.

3.2. You must provide Belle & Bleu, its employees, agents, consultants and subcontractors with access to the event premises and/or other facilities as reasonably required by us and either you or another responsible adult must be present at the agreed time and at all times during the installation of the Hired Property.

3.3. Events can only be set up on land and in venues that are either privately owned, hired by you, or on land where you have obtained a licence or permission to hold such an event. We cannot set up in public spaces without a permit or licence supplied by you at time of booking. If you obtain permission to set up on public land, it is your responsibility to ensure that the Hired Property is always supervised. You will be responsible for the cost of replacing any damaged or stolen Hired Property regardless of whether the act was committed by one of your guests or a third party.

3.4. We cannot set up in fields with animals, overgrown grass or if the area is waterlogged or on a slope. The site must also be, free of stones and large and/or sharp objects, drains, cables, or other services buried beneath the surface or otherwise concealed. We shall not be liable for any damage caused to concealed services which are not brought to our attention in advance of the event.

3.5. You must inform us in advance if access to the venue is difficult. You must also inform us of any parking restrictions, car park charges or similar issues, or whether we are required to lift Hired Property upstairs at the time of booking. Circumstances, such as the aforementioned, may result in a delayed start if we cannot access the venue with ease. If the venue is in a residents parking zone, it is your responsibility to provide Belle & Bleu with a visitors parking permit on arrival at the venue or pay the charge. Save for the Security Deposit, no refunds will be given if your booking cannot go ahead as a result of difficult access/permits/permissions which have not been disclosed at the time of booking.

3.6. We require a minimum set up time of 2 hours for pre-designed themes, plus an extra 1 hour per tent when hiring either the Bell tents or Emperor tent. Set up time for bespoke events will depend on the size of the event. We will then vacate the premises for your celebration (unless otherwise arranged) and return at the end of your hire period to dismantle and remove all Hired Property. To avoid delays, we ask that the area is kept free of distractions during the installation.

3.7. We will endeavour to arrive at your location at the agreed time, however on occasions there may be circumstances beyond our control that may mean we will arrive later than the agreed time. These may include reasons such as (but not limited to) unpredicted road traffic, road closures etc. We will contact you to let you know we are running late if it is possible and safe to do so.

3.8. You must ensure that the area to set the event is cleared, clean and safe ready for the installation of the Hired Property. You must also ensure that adequate space has been made available, including removing any furniture, toys etc ready for the set-up of your event prior to our arrival. Belle & Bleu will not be responsible for moving any furniture or belongings to make room for the Hired Property.

3.9. If we do not deem the area to be clean, suitable, safe, or does not comply with clause 3.4 above, or, if for whatever reason, we cannot set up on the day, we reserve the right to cancel your event and no refund (save for the Security Deposit) will be given.

3.10. If we have to wait for the area to be cleared or made safe on arrival, this will result in a charge of £1 per minute that we are kept waiting, which will be deducted from the Security Deposit.

3.11. We will supply all Hired Property in a safe and usable condition. Once the Hired Property has been set up, we will ask you to sign the Delivery & Set-Up Acceptance Form. If you are not satisfied with any aspect of the Hired Property, you must state at the time of set up, before signing the Delivery & Set-Up Acceptance Form. 

4. Collection of the Hired Property

4.1. The Hired Property will be collected from you at a time agreed by Belle & Bleu. In the event that you or your representative are not present or refuse entry for collection, you shall be liable for a one full night’s hire for each day that we are unable to collect the Hired Property. Belle & Bleu reserves the right to deduct additional charges from the Security Deposit.

4.2. For overnight hire, all tent occupants must have vacated the tents by 10:00am on the day of collection unless otherwise agreed in writing with Belle & Bleu.

4.3. The Hired Property is visually checked within 48 hours of collection. Any damage will be recorded and reported at the time of collection, then repaired/replaced by Belle & Bleu the cost of which will be deducted from the Security Deposit and/or charged to you.

4.4. You will be responsible and liable for any damage or injury occurring from, or as a result of misuse or reckless use of the Hired Property. These guidelines are for the safety of all people using the Hired Property and it is your responsibility to ensure they are always fully adhered to.

4.5. If any of the Hired Property is lost or stolen during the hire period, Belle & Bleu reserves the right to charge you the retail price of the lost or stolen items if it exceeds the Security Deposit amount, otherwise it will be deducted from the Security Deposit.

4.6. We will provide you or the venue with catering crates to place your dirty crockery, cutlery, and glassware into when you wish to clear the table after eating so we can take it away to clean at the end of the event. Please dispose of any leftover food or drink and rinse all items before placing them in the crates. Some of our items are vintage and/or delicate and require handwashing, so please leave the washing up to us. Under no circumstances must you place any of our items in a dishwasher. For some events, such as children’s parties, we will supply disposable cardboard or reusable plastic items.

4.7. At the end of your event, prior to collection you must remove all rubbish/recycling. Belle & Bleu reserves the right to levy a charge, which will be deducted from your Security Deposit, for the removal of any rubbish or waste.

4.8. Belle & Bleu reserves the right to make any changes to the Services and set up and collection times as is deemed necessary without notice to you.

5. Cancellations and changes to the booking.

5.1. If you need to cancel or amend your booking, Belle & Bleu requires at least 14 days advanced written notice before your event. Cancellations outside that time frame will result in you being liable for the full remaining balance in addition to the non-refundable deposit that has been paid.

5.2. In the event that you are unable to continue with your booking, for reasons outside of your control, we will discuss alternative options with you to change the event date, and your Deposit may be put towards your new event date. Alternative event dates are subject to availability and must be within 6 months of the original date.

5.3. The final numbers and choices must be confirmed at least 14 days before your event. If you downgrade your event booking within 14 days of your event, we will still charge you the original booking price.

5.4. No refunds will be given in the event that a guest or guests fails to attend the event on the day.

5.5. Any cancellations or date alterations for external suppliers or outsourced items are subject to their own terms and conditions.

5.6. In the event that Belle & Bleu feel they need to cancel the event due to unforeseen circumstances such as illness or extreme weather conditions, your Deposits and final payment will be refunded in full. You shall have no other remedy against Belle & Bleu.

6. Liability and Safety

6.1. We carry out risk assessments for all our Hired Property and ensure that everything used is in accordance with relevant UK health and safety laws.

6.2. We hold suitable Public Liability Insurance. Please inform us if you would like to see a copy of the certificate.

6.3. We recommend that you consider taking out event insurance for your event.

6.4. The Hired Property remains the property of Belle & Bleu and shall be your responsibility throughout the duration of the hire.

6.5. Under no circumstances should any of our Hired Property be moved or tampered with once it has been set up. Belle & Bleu reserves the right to remove Hired Property should we feel that the customers’ conduct or use of the Hired Property poses a risk to themselves, anyone using the Hired Property or the safety of the Hired Property. In all such cases, the Hired Property will be removed, and no refunds will be given, save for the Security Deposit provided the Hired Property is undamaged.

6.6. You must keep all hired property at the event premises and ensure its safety until they are collected. All items left at the event premises are at your own risk. You must not dispose of or use any equipment, Hired Property and other property of Belle & Bleu other than in accordance with the written instructions or authorisation from Belle & Bleu.

6.7. When hiring from Belle & Bleu, you are responsible for all loss and damage to any Hired Property regardless of culpability. Should the Security Deposit be insufficient to cover the loss/damage costs, you agree to pay, in full, all costs to rectify this.

6.8. We cannot be held responsible or liable for any damage or injury caused by inappropriate use, misuse, or reckless use of any of our Hired Property or other equipment.

6.9. It is your responsibility to ensure that children are always supervised around the Hired Property and do not run near or climb on the hired property.

6.10. You must ensure pets are not allowed on or in any of the Hired Property. Should the Hired Property require extensive cleaning due to pet hair, part or all the Security Deposit will be retained to cover the cost of cleaning.

6.11. It is your responsibility to inform guests of these terms and conditions.

6.12. Belle & Bleu will accept no liability or responsibility for any damages, costs, losses (including consequential losses), claims, expenses, demands arising directly or indirectly from the use of the Hired Property or any other equipment or property belonging to Belle & Bleu.

6.13. Our Hired Property must be kept away from naked flames. The only exception to this rule is the tent stove, however, the safety guidance must be strictly adhered to. Candles with flames are not permitted in the proximity of Belle & Bleu Hired Property without the appropriate flame containment. Battery operated candles/lights will be provided for all indoor/under cover table settings unless you wish to have unlit candles placed on the tables purely for decorative purposes.

6.14. Belle & Bleu operate a STRICT NO SMOKING policy in or near the Hired Property.

6.15. Belle & Bleu shall process all data in accordance with the General Data Protection Regulations (GDPR) 2018.


1. The basic hire period for our Luxury Picnics, Afternoon Teas and Dinner Parties is 5 hours. Extended and overnight packages are available at an additional cost.

2. For parties held outdoors, we will supply you with rain/tarpaulin covers  as necessary for the Hired Property. The Hired Property must be covered overnight and in the case of unexpected rain or harsh weather. Our beautiful rustic-style tables require regular upkeep, and it is very important that they are kept dry and protected. If the Hired Property is damaged as a result of failure to cover it overnight or during rain or harsh weather, the total cost of replacing each hired table will be deducted from the Security Deposit and/or charged to you.

3. All our pre-designed themes have the option of full height tables with chairs, or picnic height tables with ground rugs and floor cushions for up to 24 people.

4. All our themes include:

4.1. Set up, take down and cleaning of our items and Hired Property.

4.2. Styling.

4.3. Multi-height tables with solid wooden tops and slimline iron legs.

4.4. Chairs if you chose the full height table option or floor cushions on top of rugs for the picnic height option.

4.5. A selection of scatter cushions.

4.6. Gold or Silver cutlery depending on chosen theme.

4.7. Crockery:

4.7.1. Charger plates or placemats.

4.7.2. Dinner plates.

4.7.3. Salad/starter plates.

4.8. Glassware or realistic crystal glassware (plastic):

4.8.1. Champagne flutes or coupes.

4.8.2. Wine glasses.

4.8.3. Tumblers.

4.9. Water/Juice jugs

4.10. Faux flowers for each table (fresh flowers are available at an additional cost)

4.11. Candles and candle holders.

4.12. Table runner or tablecloths.

4.13. Napkins.

4.14. A blanket/throw for each guest.

4.15. Basic props placed around dining area for aesthetics.


1. Our Bell and Emperor tents can be used as an additional chill out area for any event, or as a wet weather option for events with up to 14 guests.

2. Tents are not to be used as overnight accommodation when Luxury Picnics, Afternoon Teas, or Dinner Parties are set up inside them unless otherwise agreed in writing with Belle & Bleu.

3. The Bell tents can fit up to 8 seated people in if tables are set at normal table height with chairs, and up to 10 seated people if tables are set at picnic height level.

4. The Emperor tent can fit up to 16 seated people if tables are set at normal table height with chairs, and up to 24 seated people if tables are set at picnic height level.

5. Tents can only be used in an enclosed event area with no access to public. We cannot set up in public spaces.

6. Tents can only be installed on real grass due to the insertion of pegs in the ground.

7. The space required to set up the tents should be level and within 50 metres of a parking space. The route from the parking space to the tent site should not have any steps or obstacles.

8. The space required for each tent is:

8.1. 5m Bell tent: 7 meters diameter

8.2. Emperor tent: 8m x 6m

9. There is to be no running around the Bell Tents or Emperor Tents, hanging off/leaning on the centre pole or leaning on the tent.

10. The tents are a no-shoe zone. A basket for shoes will be provided, as well as an entrance rug.

11. No naked flames are allowed inside the tent or within 5m of the tent at any time. No cooking or use of any gas device is to be used inside the tent at any time.

12. For overnight hire, we can supply tent stoves for heat inside the Bell Tents.


1. When hiring the tent stove, we will supply dried wood, matches, firelighters, kindling, fire gloves, fireproof mat, a bucket of sand, the tent stove and a fire poker.

2. We will set up the kindling, firelighters, and wood ready to burn.

3. You must only burn the fuel provided as burning other items may cause damage to the tent stove.

4. When lighting the tent log burner, you must make sure the baffle control on the chimney/stovepipe is in the vertical position. Once lighted, this can be adjusted for combustion control and wood consumption.

5. When adding additional logs to the fire, you are required to use the fire gloves provided and gently place the log on top of the fire.

6. You must not move the tent stove once ignited.

7. The tent stove must not be left unattended when ignited.

8. Children must not be left unattended around the tent stove.

9. The tent must be kept well ventilated whilst the tent stove is in use.

10. Once you have finished using the tent stove, you must smother the fire using the sand provided. You must not put the fire out with water.

11. You must allow at least 8 hours for the ash to cool down before Belle & Bleu return to dispose of the ash and pack the tent stove away. Belle & Bleu will then

11.1. transfer the ash into the bucket (using fire gloves, metal bucket and metal spade over a fire mat);

11.2. saturate the ash in water to fully cool; and

11.3. transfer the cooled ash to our garden compost area.
